Free · Excel workbook Built for independent US medical practices

Know if your revenue cycle is bleeding money.
In five minutes. Every month.

Your P&L will not tell you. Your billing report will not tell you. But eight numbers, tracked monthly, will. We built the dashboard we wanted for our own practice, and we made it free for yours.

Section 01
What you actually get

The eight KPIs that reveal every revenue leak in an independent practice.

Each metric is calculated automatically from the numbers you enter once a month. Every one is color-coded against MGMA and HFMA benchmarks. When it turns red, you know exactly where money is leaving the practice.

COLLECTIONS

Net Collection Rate

Healthy ≥ 95%

The share of what you billed you actually collected. The single most important RCM number, and the one most practices cannot quote off the top of their head.

A/R AGING

Days in A/R

Healthy ≤ 35 days

How long it takes to collect on a claim, on average. Every extra day is working capital sitting on someone else's balance sheet instead of yours.

DENIALS

First-Pass Denial Rate

Healthy ≤ 5%

Claims kicked back on first submission. Every point above 5% is staff hours spent on rework and revenue delayed by 30 to 90 days.

CLAIMS

Clean Claim Rate

Healthy ≥ 95%

The inverse of your denial rate. High clean claim rate means your front-end and coding processes are catching problems before they cost you money.

BACKLOG

A/R Over 90 Days

Healthy ≤ 15%

The share of your receivables aged past 90 days. Older claims collect at sharply lower rates. A growing over-90 bucket is the clearest sign of a collections problem.

PATIENT PAY

Patient Collection Rate

Healthy ≥ 85%

Patient responsibility now exceeds 30% of revenue for most practices. If you are not collecting 85 cents on every dollar owed by patients, this is likely your fastest-growing leak.

SCHEDULE

No-Show Rate

Healthy ≤ 5%

Every no-show is revenue that cannot be recovered. High-performing practices operate below 5%. This is the leak most owners ignore and pay for every single day.

YIELD

Avg Charge / Encounter

Track the trend

No universal benchmark, but a declining trend is one of the earliest signals of coding under-capture or payer mix erosion. Watch this line month over month.

Section 02
How it works

Four steps. Five minutes. Once a month.

We designed this to fit into an existing month-end close, not to replace one. Pull the numbers you already report from your PM system. Type them in. The dashboard does the rest.

01

Open the Monthly Input tab

Enter that month's numbers in the yellow cells. Nothing else needs your attention. Every input comes straight out of a standard PM report.

02

Open the Dashboard tab

Every KPI is calculated automatically, color-coded against MGMA and HFMA benchmarks, and shown alongside a 3-month average, YTD, and trend arrow.

03

Attack the reds first

Any red or yellow KPI is a revenue leak. The dashboard tells you what to prioritize and where to look for root cause.

04

Repeat monthly

After three months, patterns emerge. After twelve, you know your practice. This is the tool we wish every independent physician owner had on hand.

Benchmarks that matter

These are the ranges we score against.

Pulled from MGMA DataDive, HFMA MAP Keys, and our own book of business across independent US practices. Directional, not absolute. Your specialty and payer mix will move some of these. Ask us for specialty-specific ranges.

Common questions

What owners ask us before downloading.

Written from actual conversations we have had with physician owners on discovery calls. If your question is not here, email us at info@natrevmd.com and we will answer it.

Every input is a standard field in Athena, Kareo, eClinicalWorks, DrChrono, Epic, and every other PM system we have worked with. If your system genuinely will not surface one of them, that itself is a signal, and we should probably talk. Email us and we will help you pull it.

The benchmarks in the workbook are directional across specialties. Your specialty and payer mix will move some of them. Reply to the download email with your specialty and we will send back the specialty-specific cut we use internally.

Yes. Forward it freely. Most owners we work with delegate the monthly data entry to a practice manager or billing lead and review the Dashboard tab themselves in a 10-minute stand-up on the first of the month. That is exactly the rhythm we recommend.

Yes. NatRevMD is a physician-led revenue cycle management company. Independent practices hire us to run the whole revenue cycle or to remediate specific leaks. Our free RECOVER Diagnostic (linked in the workbook) is the way to see if we can help. No pressure either way. The dashboard is yours to keep regardless.

No. We send the download link, then a short benchmarking email once a month with what independent practices in our book are seeing. Unsubscribe anytime. We are not going to blast you.
